See What Works. Back Every Decision.
If you’re new to Delacon, this guide will help you go from “we’ve got logins” to “we can trust the data” quickly. It covers the essentials (portal, tracking setup, testing) plus the most common next steps (Google integrations, call notifications, user access, automated reporting, and number ordering). Where you want the deeper, step-by-step technical detail, you’ll see links to the Help Centre.
1. First login: get comfortable in the Portal
Your Delacon Portal is where you manage services, view call data, configure tracking, and check billing.
The Delacon Portal, Genesis, has been recently revamped and makes it easy for you to manage all aspects of your calls. Take a look at the new portal over here.
What to do in your first 10 minutes:
- Confirm your timezone is correct (this affects call log timestamps).
- Find your MID (Master ID). This is your account identifier and will be referenced in tracking code and support tickets.
- Click through the core areas you’ll use most:
- Reporting and call logs
- Services and number configuration
- Integrations and configuration
- Billing and statements
Head over to the Help Centre for a deeper dive on self-onboarding.
2. Confirm billing and statements before you scale
Whether you’re on prepaid or post-paid, it’s worth checking this early so you don’t get caught by low balance alerts, missing invoice recipients, or confusion about statements.
Good habits from day one:
- Know where to download monthly statements (PDF/CSV).
- Confirm who receives invoices and balance alerts.
- If you’re doing campaign-by-campaign reporting, plan to export CSVs for reconciliation.
If you want Portal-first visibility into cost and ROI reporting, this is also where Delacon can help connect the dots between call activity and cost data.
3. Get tracking live: the “must do” setup
A) Website call tracking (session tracking)
If you want attribution down to source, campaign, keyword, landing page and the page the person called from, the tracking code needs to be deployed correctly.
This is achieved through Dynamic Number Insertion.
Key rule:
- The tracking code should be present across your website so sessions are captured reliably, not just on a few pages.
Get your best practice checklist here (bookmark this): Call Tracking Best Practice Checklist
B) Offline and “not-on-your-site” tracking
Not every call starts on your website. You can also track calls from:
- Google Business Profile / listings
- Call extensions
- Print, directories, outdoor, radio
- Email campaigns and QR codes
4. Test properly before you call it “done”
Do a quick validation so you can trust reporting.
Minimum test steps:
- Visit your site via a known source (for example, a Google search or a tagged link).
- Confirm the correct number displays (if using DNI).
- Place a test call.
- Confirm the call appears in the call log with the right source and campaign labelling.
- Confirm the call routes to the correct termination number and IVR options (if applicable).
If anything looks off, use the best practice checklist above and then raise a Support ticket with your MID.
5. Choose the right tracking model: single-source vs session tracking
This matters more than most teams realise.
- Single-source tracking is simpler and works well when you just need “which channel drove the call”.
- Session tracking is best when you want deeper attribution and optimisation, especially for Paid Search and multi-touch journeys.
To learn what fits your needs best, read our post on single source vs session tracking.
6. Connect your marketing stack (where the ROI lives)
Google Analytics and Google Ads
Connecting Delacon to Google is often the fastest way to move from “tracking” to “optimising”.
Why teams do this:
- See which campaigns and keywords drive calls that matter
- Feed conversion signals back into bidding
- Report calls alongside website behaviour
Read the full integration guide for Google Analytics on the Help Centre.
CRM and outcomes (closing the loop)
If you want to prove ROI properly, connect call activity to outcomes like qualified leads, opportunities, revenue, or policy/patient booking results.
Delacon integrates with a number of leading CRM systems and analytics services like HubSpot and Adobe Analytics. See Delacon’s full integration capabilities over here.
7. Set up alerts and email templates (don’t miss leads)
Delacon can email call notifications to nominated addresses. You can choose to notify for all calls, or only missed/busy calls.
Best practice:
- Use missed call alerts if you’re running high-intent campaigns.
- Make sure the right people get the alerts (shared inboxes can work well).
- Review email templates so the team sees the key details they need quickly.
8. Add users and control access cleanly
Delacon supports different login types depending on whether you’re an enterprise, agency, or multi-location group.
Typical setup patterns:
- One main admin login for billing and platform configuration
- Additional logins for marketing and reporting
- If you’re an agency, client-level access where appropriate
9. Automate reporting (so insight arrives without chasing it)
If you’re manually exporting call logs for monthly reporting, you can usually save a lot of time by scheduling automated reports.
Recommended baseline:
- A monthly call log export
- Weekly performance snapshot to stakeholders
- For agencies, client-specific views and distribution lists
If your reporting needs are more advanced or multi-source, it’s worth looking at Insights IQ.
10. Ordering numbers and scaling campaigns
When you run bigger campaigns, especially session-based tracking, number pool size matters for attribution accuracy.
You can use Delacon’s rolling numbers calculator to see how many numbers your business needs.
11. Add-on features that unlock more value
Once tracking is stable, these are the most common “level up” features.
Call Recording and Speech Analytics
Turn conversations into searchable, reportable insight (intent, sentiment, topics, objections, QA and compliance). Learn more about Call Recording & Speech Analytics.
12. Industry-specific setup considerations
Call tracking is not one-size-fits-all. You need to tailor your setup and reporting to your industry:
- Agencies & Directories
- Finance & Insurance
- Franchise & Multi-location
- Healthcare & Education
- Professional Services & Other
- Real Estate & Construction
- Retail & Travel
- Utilities & Government
Quick “Week 1” checklist
If you want a simple plan, aim to complete this in your first week:
- Confirm timezone, MID, and portal access
- Deploy tracking code site-wide (or confirm it’s firing correctly)
- Label your numbers and test routing end-to-end
- Set missed call alerts to the right inboxes
- Connect Google Analytics + Google Ads (if running paid search)
- Set up one automated report (monthly call log minimum)
- Add any extra users who need access
